Privacy Policy

This Policy explains how Ops Systems Lab LLC collects and uses personal information through opssystemslab.com, web forms, and related business inquiries. Client project data is addressed separately in the Data Handling Policy and signed client agreements.
1. Who we are and scope
Ops Systems Lab LLC is an Ohio limited liability company that designs and configures operations workflows using Microsoft 365 and Microsoft Power Platform tools. In this Policy, “OSL,” “we,” “us,” and “our” refer to Ops Systems Lab LLC.
This Policy applies to personal information collected through opssystemslab.com (the “Site”), including the Book a Workflow Review form, and through communications that follow a website inquiry. It does not replace any privacy, confidentiality, or data-processing terms in a signed Master Services Agreement, Statement of Work, or other client agreement. If a signed agreement imposes stricter project-specific terms, that agreement controls for the covered engagement.
2. Information we collect
2.1 Information you provide
Contact and professional information, such as name, company, job title, business email, business phone number, and preferred contact method.
Inquiry and workflow information, such as business category, pain area, current process, systems used, project objectives, timing, budget context, and the content of your message.
Communications and commercial records, such as emails, meeting notes, proposal information, contract status, approvals, and support communications.
Billing and transaction records if you become a client. Payment-card or bank credentials should be provided only through the payment provider identified on the invoice, not through the Site’s general inquiry form.
Other information you choose to provide. Please do not submit passwords, authentication codes, Social Security numbers, payment-card information, protected health information, or other restricted data through the Site.
2.2 Information collected automatically
The Site is hosted by Squarespace. When you visit, Squarespace and enabled integrations may collect information needed to operate, secure, and measure the Site, including:
IP address and approximate location derived from it;
browser, network, device, and operating-system information;
referring page, pages viewed, links or buttons used, timestamps, and session activity; and
cookie identifiers and consent preferences described in the Cookie Policy.
Whether non-essential analytics information is collected depends on the cookie settings and choices available on the Site.
2.3 Information from other sources
We may receive professional or business information from referrals, public business websites, professional networking platforms, or a colleague who asks us to contact you. We may combine that information with information you provide, subject to applicable law.
3. How we use information
Operate, maintain, troubleshoot, protect, and improve the Site.
Receive, evaluate, route, and respond to inquiries and requests for a workflow review.
Schedule discussions, understand the current process, determine fit, and prepare proposals, agreements, or project plans.
Maintain prospect and client relationship records, follow up on requested services, and administer contracts, billing, support, and business operations.
Measure general Site traffic and content performance where analytics are enabled and permitted by visitor choices.
Prevent spam, fraud, abuse, security incidents, and unlawful activity.
Comply with legal obligations, enforce agreements, establish or defend legal claims, and respond to lawful requests.
Send marketing communications only where permitted. You may opt out of marketing email at any time; service or inquiry-response messages may still be sent when necessary.
OSL does not use website inquiry information to make decisions that produce legal or similarly significant effects solely through automated processing.
4. How we disclose information
We may disclose personal information only as reasonably necessary for the purposes above to:
Squarespace, which hosts and helps secure the Site and may provide form and analytics services.
Microsoft and Microsoft 365 services used for business email, calendars, documents, approved workflow records, and client communications.
Other vendors that support scheduling, e-signature, accounting, customer relationship management, cloud storage, security, or technical operations, when those services are enabled.
Professional advisers, insurers, auditors, or prospective financing or transaction parties who have an appropriate need for the information.
Government authorities, courts, or other parties when required by law or reasonably necessary to protect rights, safety, security, or property.
A successor or involved party in a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, subject to appropriate confidentiality protections.
We do not sell personal information for money. As of the effective date, we do not knowingly share personal information for cross-context behavioral advertising and do not use advertising pixels on the Site. [[Confirm no advertising pixels or marketing tags are enabled before publishing.]]
5. Cookies and embedded services
The Site uses necessary cookies and may use analytics and performance cookies. Visitors can use the Site’s cookie banner or cookie-preferences control to manage non-essential cookies where offered. For cookie names, purposes, durations, and choices, see the Cookie Policy.
Pages may include embedded media or links provided by [[Embedded video provider, if any]]. When you load or interact with third-party content, that provider may receive device, browser, IP, cookie, or interaction information under its own privacy terms. OSL does not control the independent privacy practices of those providers.
6. Retention
We retain personal information only for as long as reasonably necessary for the purpose collected and for legitimate business, accounting, security, contractual, dispute-resolution, and legal requirements. Retention depends on the nature of the information, the relationship, the sensitivity and risk of harm, applicable limitation periods, and whether the information is required to maintain business or tax records. When information is no longer needed, we delete, de-identify, or securely dispose of it where reasonably practicable. Residual copies may remain temporarily in routine backups or may be retained when required by law or a legal hold.
7. Security
We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information and the size and scope of our operations. These practices include data minimization, business accounts, access controls, multi-factor authentication where supported, approved service providers, and secure deletion practices. No website, transmission, or storage system can be guaranteed completely secure, and we cannot promise absolute security.
8. Your choices and privacy rights
Depending on where you live and whether a particular law applies to OSL, you may have rights to request access to, correction of, deletion of, or a copy of certain personal information; to withdraw consent; to object to or restrict certain processing; or to appeal a denied request. You may also opt out of marketing email through the unsubscribe method provided or by contacting us.
To submit a privacy request, email privacy@opssystemslab.com with the subject “Privacy Request.” Describe the request and the email or relationship associated with the information. We may ask for information reasonably necessary to verify identity and authority. Authorized agents may be required to provide proof of authority. We will not unlawfully discriminate against you for exercising an applicable privacy right.
Some browsers transmit Do Not Track or Global Privacy Control signals. Because OSL does not currently sell or share personal information for cross-context behavioral advertising, there is no sale/share opt-out to apply. Where applicable law requires a recognized browser-based signal to be honored for another purpose, we will treat it as required.
9. Children’s privacy
The Site is intended for business users and is not directed to children under 13. We do not knowingly collect personal information from children under 13 through the Site. If you believe a child has provided information, contact us so we can evaluate and delete it as appropriate.
10. International use
OSL is based in the United States, and information may be processed and stored in the United States or other locations where our service providers operate. Those locations may have privacy laws different from the laws where you live. We will use any transfer mechanism required for processing that is subject to applicable international transfer law.
11. Third-party links
The Site may link to third-party websites or services. Their privacy and security practices are governed by their own terms, and OSL is not responsible for them. Review those policies before providing information.
12. Changes to this Policy
We may update this Policy to reflect changes in the Site, vendors, practices, or law. The revised Policy will state a new last-updated date. If a change materially affects how previously collected information is used, we will provide any additional notice or choice required by applicable law.
